The University of Miami Miller School of Medicine operates a federally-funded rare diseases clinical research consortium (CReATe RDCRC) which hosts an annual conference for its consortium member sites and research collaborators. In years past (pre-COVID), it has always been in person in Miami. However, for the last few years, it has been virtual. 2024 will mark the first year we host the meeting in person since 2019.
We are looking to build a partnership with an event planner + day-of manager who can run point during our 2-day meeting but also provide project organization and logistical execution in the lead up to the event:
* Hotel selection [DONE]
* Contract negotiation [DONE]
* Invitations & registration [URGENT]
* Travel logistics and bookings [URGENT]
* Vetting A/V support companies [URGENT]
* Ordering branded ‘swag’ for the event
* Catering menu selections
* Presentation room setup
* Day-of liaison with Hotel and A/V staff
* Feedback survey dissemination & results gathering
The event is scheduled to take place March 10-12, 2024. It will consist of a reception on Sunday evening, a full day meeting agenda on Monday, and a half-day on Tuesday before adjourning. The guest list will be approximately 100-120 people, comprised of a mixture of US-based and international MD/PhD academic researchers, nurses and research coordinators, industry and philanthropic partners and possibly a few research participants. Funds are being provided via federal grant support to the University of Miami.
