We are currently seeking a Client Services Co-ordinator/Administrator to join our dynamic team, where you will play a crucial role in coordinating note-taking and transcription client orders and delivering outstanding service to our valued customers.
Position Summary
The Client Services Co-ordinator/Administrator will be responsible for the end-to-end coordination of note-taking and transcription client orders, including onboarding, quotations, order processing, and final delivery. This role will require accurate data entry into the order management system on a timely basis and ensuring deletion of all files in accordance with the client retention policy. You will provide day-to-day support for client orders as required and act as the point of contact for client and customer queries, including answering all inbound telephone calls. In addition, this role will provide cover for the Office Manager for general office duties as and when required.
Responsibilities
- Coordinate end-to-end client orders for note-taking and transcription services, from onboarding to final delivery.
- Accurately enter data into the order management system in a timely manner.
- Ensure compliance with our client retention policy by securely deleting all files.
- Provide day-to-day support for client orders, addressing any queries or concerns promptly.
- Serve as the primary point of contact for client and customer inquiries, including handling inbound telephone calls.
- Step in to assist the Office Manager with general office duties when needed.
- Previous experience in a client services or customer support role is highly desirable.
- Exceptional organisational skills with a keen eye for detail and ability to prioritise tasks effectively.
- Strong data entry skills and proficiency in using order management systems.
- Excellent verbal and written communication skills, with a professional and friendly telephone manner.
- Ability to thrive in a fast-paced, deadline-driven environment.
- Proactive problem-solving skills and a customer-centric mindset.
- Flexibility to support general office duties as required.
