Seeking a professional, detail-oriented Administrative Assistant for a short-term project (6-8 weeks). The successful candidate will be an integral part of a migration effort, moving resources from one business into another business's systems. You will be responsible for migrating assets, creating assets, and creating new assets as identified, and aiding in our day-to-day operations during the merger. You should be experienced in managing and organizing documents, drafting emails, performing internet research, and other administrative tasks as required.
Key Responsibilities:
Create and organize a range of documents, ensuring that all agency files and information are kept up-to-date and easily accessible.
Monitor, update, and maintain our HubSpot CRM with the latest client information, project statuses, and other relevant data.
Utilize project management software (ClickUp) to track project progress, identify potential issues, and keep all team members aligned and informed.
Conduct comprehensive internet research to support various teams in their initiatives, client projects, market research, and industry trend analysis.
Draft and edit professional emails, correspondences, reports, and other written materials, ensuring clear, concise, and effective communication.
Provide general administrative support to various departments as needed, such as coordinating meetings, taking minutes, and managing schedules.
Handle other relevant tasks and projects as assigned by management, showing adaptability and initiative.
Qualifications:
High school diploma required; associate鈥檚 or bachelor鈥檚 degree in business administration, marketing, or a related field is preferred.
Proven experience as an administrative assistant or similar role.
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
Experience with project management software (ClickUp Preferred) and CRM systems (HubSpot preferred).
Excellent verbal and written communication skills.
Strong organizational and time management skills, with the ability to prioritize tasks and work under pressure.
Proactive, self-directed, and capable of working effectively in a fast-paced, dynamic environment.
Ability to maintain confidentiality and exercise discretion when handling sensitive information.
